If one of these is your sentence, you are in the right place.
-
“We bought it two years ago and we still run the real pipeline out of a spreadsheet.”
-
“Every quote is retyped by hand into three places.”
-
“Our data has been a mess since the last system, and nobody wants to touch it.”
A five-year-old database is commonly 20–30% duplicates. Cleaning it before the move is the difference between a CRM people use and one they abandon. Legacy data import →
-
“The reps stopped entering anything, so the reports are fiction.”
Usually the system asks for work it does not give back. That is a design problem, not a discipline problem. Training and handover →
Rather than describe the work, here is a piece of it.
Below is a pipeline fragment of the kind we build: a quote-to-order flow for a company whose reps live on the phone. It is composite and illustrative. The real ones stay private, because they belong to the companies that paid for them, and yours will be treated the same way.
-
Enquiry
Someone asked for a price.
Leaves when a call is logged and the requirement is written down.
-
Qualified
Real budget, real timeline, right person.
Leaves when decision-maker and expected order date are both filled in.
-
Quoted
A number has gone out in writing.
Leaves when the quote document is attached to the deal.
-
Negotiation
They are talking terms, not price alone.
Leaves when a purchase order arrives or the deal is marked lost with a reason.
-
Order placed
Handed to operations.
Order number recorded; the deal closes as won.
Typical workflow
When an opportunity reaches Qualified, an automation prepares the salesperson's working assets. It presents a checklist of the questions that must be answered to fully validate the customer's quote. Once complete, the captured answers flow automatically into a quote template rendered as a PDF, and a personalized email is staged to carry the standardized quote. When the salesperson sends that email to the client, the deal moves automatically to the “Quoted” stage.
One of the rules that runs on it, in plain English: if a quote has been sitting for five working days with nothing logged against it, the owner of that deal gets a task the next morning. That is, unless the customer asked to be left alone until a specific date, in which case nothing happens until that date passes.
The literal condition, for anyone who wants it: Deal is in stage “Quoted” · no activity in 5 working days · “Hold until” is empty or in the past → create a follow-up task for the deal owner. That last clause is the unglamorous half. Without it, the customer who said “call me in March” gets chased in January and your rep stops trusting the system.
Where you are now, and where this work takes you.
Before
- The pipeline lives in a spreadsheet
The stages were copied from the demo account, so nobody fully trusts what the board says.
- Quotes are retyped by hand
The same quote is entered into two or three systems that were never introduced to each other.
- Follow-ups depend on memory
Whoever remembers, follows up. Whoever forgets, loses the deal.
- Reports are clouded by bad data
Duplicate contacts and stale deals make every number an argument.
- The forecast is a guess
A number dressed up for the meeting, rebuilt by hand every month.
After
- Pipedrive is the record
One pipeline, built around how your company actually sells.
- A quote is entered once
It flows automatically to every system, and every person, that needs it.
- Follow-ups generate themselves
Tasks, reminders and emails are created by the workflow, not by memory.
- Data comes in clean and stays clean
Old records migrated without the duplicates; new ones validated as they arrive.
- The forecast reads straight from the pipeline
Up to date the moment a deal moves.
How an engagement runs.
Durations below are typical for a company of 10–50 people. Whatever applies to you is fixed in writing in your quote before anything starts.
- 1
Call: 30 minutes, free
You describe how you sell today. I tell you whether this is a two-minute fix, a two-month rebuild, or something in between. We will then determine together if PipedriveExperts is the right company to do the job. If we are, we typically book a second call which includes the correct members of your team.
- 2
Second call, with your team: 60 minutes, also free
We explore your current process together, ideally with involvement from sales, admin, and operations (and possibly others). We learn how you work today, identify what is working and what is not, and identify opportunities for improvement. The second interview provides us with the information we need to then respond with a detailed specification. No risk, no cost prior to seeing a costed validated proposal.
- 3
Audit and written proposal: 3 to 5 working days
Pipeline, fields, automations, integrations and data condition, written down in language you can read, with a fixed quote attached. You approve it before a single thing is built. The clock starts only when you accept. The document is yours whatever you decide next.
- 4
Build: typically 1 to 3 weeks
Built against the approved specification, on a copy first where the account is already live. You see visible progress every week, not a reveal at the end.
- 5
Handover and training: onsite or remote
If the mandate includes training, we collaborate with your team following an agenda to which we have previously agreed. Every such meeting is recorded for later reference. Thirty days of email support are included at no charge.
Following completion of the final stage, we may conclude together that additional opportunities have presented themselves, and we evolve further into the future! PipedriveExperts is your long-term ally and partner.
What a typical implementation includes, and what it does not.
Fixed-price where the scope can be fixed. The exclusions column exists because that is the column that causes the arguments.
| Phase | Included | Not included unless quoted |
|---|---|---|
| Specification | Written spec you approve before build | Re-scoping after a change of direction mid-build |
| Configuration | Pipelines, stages, fields, automations, permissions | Rebuilding a second pipeline added later |
| Data | One migration pass with duplicate reconciliation you can check | Ongoing data entry or day-to-day CRM administration |
| Integration | Connections named in the specification | Third-party subscription fees, and systems discovered later |
| Training | One session per role, plus the recorded walkthrough | Refresher sessions for staff hired afterwards |
One person accountable. Not one person doing the work.
I have worked in Pipedrive for more than ten years, built automations for about ten, and spent the last two applying language models to the parts of sales admin that were never worth a human's afternoon. I deliver in English, French, Italian, Spanish and German.
I scope your engagement, write the specification and stay on it through handover. You will not be sold by me and then handed to a junior after you sign. That is the failure mode this practice exists to avoid, and it is the reason there is no account manager between us.
Behind me is a partner firm of more than thirty-five engineers, technicians and AI-implementation specialists, including three data scientists and two PhD computer scientists. I have worked with them for fifteen years and draw a standing group of about fifteen onto client work. They are contracted specialists rather than employees, which I state plainly because you should know who is working on your account. Some of them will deal with your team directly during a build. I stay accountable for all of it.
What happens if you are not available?
A fair question, and here is the answer with things attached to it rather than a promise. Engagements are scoped in weeks, not quarters, so there is no year-long dependency to strand. The delivery team has worked together for fifteen years and does not turn over between your project and the next one. Everything is documented in a written configuration document as it is built. Every automation has a recorded screen walkthrough. The admin credentials are yours throughout and I never hold them. And nothing I build is proprietary to me. It is standard Pipedrive configuration that any competent consultant can read and continue. If I disappeared tomorrow you would have a system and the papers for it, not a hostage.
What if I call and you are with another client?
You will reach me directly on +1 (514) 500-0411, or a voicemail that is mine. If I miss you, you hear back the same working day. I take on a limited number of engagements at a time specifically so that stays true.
Confidentiality policy
Your data, your pipeline and your commercial terms stay private, protected by a legally binding non-disclosure agreement on every engagement. You will not find a client logo, a named testimonial or a case study anywhere on this site. That is the same policy, already applied to the clients who came before you, and your name will not appear here either.

Five things we are asked for most.
-
Pipelines, stages, fields and the rules that move work along without anyone remembering to.
-
Calls logged against the right deal automatically, so the phone stops being a separate system.
-
Accounting, e-commerce, telephony, scheduling. Through Make.com or directly against the API.
-
For the case that genuinely has no off-the-shelf answer. We will tell you first if it does.
-
Per role, in English, French, Italian, Spanish or German, with a recording your next hire can watch.
Thirty minutes, no charge, no slide deck.
